These Terms and Conditions (“Terms”) govern your access and use of the Kadva Patel Samaj Online Room Booking Portal (“Portal”) and the subsequent use of our hall facilities. By submitting a booking request, you (“The Booker”) agree to be legally bound by these Terms.
1. Eligibility & Booking Process
The Booker must be at least 21 years old. Submission of a booking request is an inquiry only and does not constitute a confirmed reservation. All bookings are subject to availability and final written confirmation from the Samaj Management, which reserves the sole right to approve or deny any request without providing a reason.
2. Fees, Payment & Security Deposit
The Booker agrees to pay the full rental fee and a refundable security deposit as per the prevailing rates. Final confirmation is contingent upon receipt of full payment. The security deposit will be refunded after a post-event inspection, subject to deduction for any damages, additional cleaning, or violations of these Terms.
3. Cancellations & Modifications
Cancellations must be submitted in writing. Refunds will be issued as per the Samaj’s current cancellation policy. The Samaj reserves the right to cancel any booking due to unforeseen circumstances, emergencies, or force majeure events, with liability limited to a full refund of payments received.
4. User Responsibilities & Hall Use
The Booker is solely and fully responsible for the conduct of all guests and for strict compliance with all Samaj rules, which will be provided upon confirmation. This includes, but is not limited to:
Adherence to the booked time slots for setup, event, and cleanup.
Prohibition of illegal activities, gambling, or possession of hazardous materials.
Compliance with all local noise ordinances and regulations.
The Booker is financially liable for any loss or damage to Samaj property occurring during their reserved period.
5. Limitation of Liability
The Samaj, its trustees, and volunteers shall not be liable for any injury, loss, theft, or damage to personal property of the Booker or their guests arising from the use of the hall or portal. Use of the facilities is at the user’s own risk.
6. General Provisions
These Terms, together with the Privacy Policy and Disclaimer, constitute the entire agreement. The Samaj Management’s decisions regarding bookings and interpretation of these Terms are final. We reserve the right to amend these Terms at any time, with updates posted on the Portal.
